Supplier Terms & Conditions

1. Introduction

These Supplier Terms & Conditions ("Supplier Terms") supplement our general Terms & Conditions and govern your participation as a professional service provider on the GaffGenie platform. By registering as a supplier, you agree to be bound by both these Supplier Terms and our general Terms & Conditions.

Important: You are an independent contractor, not an employee of GaffGenie or R Residential Ltd. You are responsible for your own taxes, insurance, and compliance with all applicable laws and regulations.

GaffGenie is a trading name of R Residential Ltd, a company registered in England and Wales.

2. Eligibility & Verification Requirements

2.1 Basic Requirements

To join GaffGenie as a supplier, you must:

  • Be at least 18 years old
  • Have the legal right to work in the United Kingdom
  • Hold all necessary trade qualifications and certifications
  • Maintain appropriate insurance coverage

2.2 Required Documentation

You must provide and maintain:

  • Valid UK ID - Passport or driving license
  • Proof of Address - Dated within the last 3 months
  • Public Liability Insurance - Minimum £1,000,000 coverage
  • Trade-Specific Certifications where applicable:
    • Gas Safe registration (for gas work)
    • NICEIC/NAPIT registration (for electrical work)
    • CISRS card (for scaffolding)
    • Other relevant trade body registrations

2.3 Annual Renewal

All documentation must be renewed annually. We will notify you 30 days before expiry. Failure to renew will result in automatic suspension until valid documents are provided.

2.4 Verification Process

You may submit quotes while verification is pending, but customers cannot book your services until you are fully verified. Verification typically takes 2-3 business days.

3. Service Standards & Commitments

3.1 Professional Conduct

You agree to:

  • Maintain professional behavior at all times
  • Accurately represent your skills, experience, and qualifications
  • Provide honest and transparent quotes
  • Treat all customers with respect and courtesy
  • Comply with all Health & Safety Executive (HSE) regulations

3.2 Service Delivery

  • Complete jobs within 24 hours of the agreed date OR provide an update with a new completion date
  • Notify GaffGenie and the customer immediately if unable to complete a job
  • Maintain high standards of workmanship
  • Use appropriate materials and follow industry best practices
  • Clean up the work area upon completion

3.3 Communication

  • Respond to customer messages within 24 hours
  • Provide clear updates on job progress
  • Use professional language in all communications

4. Commission & Payment Terms

4.1 Commission Structure

  • GaffGenie charges a 10% commission on all completed jobs
  • Commission is automatically deducted before payout
  • While there is currently no minimum commission, a £7 minimum may be introduced in the future
  • Commission rates apply equally to all trades and job values

4.2 Payment Processing

  • Payments are processed after customer confirms job completion
  • Funds are typically available within 2-5 business days
  • You must have a verified Stripe Connect account to receive payments
  • All payments are made in GBP

4.3 Disputes & Refunds

  • In dispute cases, payments may be held pending resolution
  • If found at fault, commission may not be refunded
  • Refunds to customers will be deducted from your pending or future payouts

4.4 Tax Obligations

You are responsible for your own tax obligations, including VAT registration if applicable. GaffGenie will provide transaction records but you must maintain your own accounts and submit tax returns.

5. Platform Rules & Anti-Circumvention

5.1 Contact Information

Strictly Prohibited: Exchanging contact details (phone, email, social media) before a booking is confirmed will result in immediate suspension.

  • All communication must remain on the platform until booking is confirmed
  • After booking, contact details are automatically shared
  • Do not include contact information in quotes or messages

5.2 Anti-Circumvention Policy

Attempting to bypass GaffGenie to avoid commission is strictly forbidden and will result in:

  • Immediate account suspension
  • Forfeiture of pending payments
  • Potential legal action
  • Permanent ban from the platform

5.3 Work Completion

  • Work must be completed by the account holder or their direct employees
  • Unauthorized subcontracting is not permitted
  • You remain fully responsible for any employees or authorized subcontractors

5.4 Service Area

GaffGenie currently operates in the United Kingdom only. You may only offer services in areas where you are legally permitted to work.

6. Insurance & Liability

6.1 Insurance Requirements

  • Maintain minimum £1,000,000 Public Liability Insurance at all times
  • Insurance must cover all trades you offer on the platform
  • Additional coverage may be required for specific trades (e.g., higher limits for gas work)
  • Provide updated insurance documents before expiry

6.2 Indemnification

You agree to indemnify and hold harmless GaffGenie, R Residential Ltd, and their officers, directors, and employees from any claims, damages, losses, or expenses arising from:

  • Your work or services
  • Breach of these terms
  • Negligence or misconduct
  • Actions of your employees or subcontractors

6.3 Incident Reporting

You must notify GaffGenie within 24 hours of any accidents, injuries, property damage, or potential claims arising from your work.

7. Account Suspension & Termination

7.1 Immediate Suspension

Your account may be suspended immediately for:

  • Circumvention attempts or commission avoidance
  • Fraudulent activity or misrepresentation
  • Safety violations or dangerous practices
  • Abusive or threatening behavior
  • Insurance lapse or invalid documentation
  • Multiple unresolved customer complaints
  • Breach of data protection obligations

7.2 Suspension Process

  • You will be notified of suspension reasons via email
  • You may appeal within 14 days
  • During suspension, you cannot accept new jobs
  • Must complete any accepted jobs unless customer agrees to cancellation

7.3 Voluntary Termination

  • You may terminate your account with 30 days written notice
  • Must complete all accepted jobs before termination
  • Outstanding payments will be processed according to normal timelines

7.4 Effects of Termination

  • Loss of access to the platform
  • Removal from search results
  • Cannot create new account for 12 months if terminated for cause
  • Reviews and ratings remain on the platform

8. Data Protection & Privacy

  • Comply with GDPR and UK data protection laws
  • Only use customer data for completing booked jobs
  • Do not use customer information for marketing or solicitation
  • Delete customer data after job completion (except as required for tax records)
  • Report any data breaches to GaffGenie within 24 hours
  • Implement appropriate security measures for any customer data

9. Reviews & Ratings

  • Participate honestly in the review system
  • Do not incentivize or pay for positive reviews
  • Do not pressure customers to leave reviews
  • May respond professionally to reviews
  • False reviews or manipulation will result in immediate termination
  • Reviews remain on the platform even after account closure

10. Dispute Resolution

10.1 Internal Process

Most disputes should be resolved through our internal process:

  • Initial attempt at direct resolution with customer
  • Escalation to GaffGenie support team
  • Review by disputes team with decision within 7 days

10.2 External Resolution

If internal resolution fails:

  • Mediation through an approved UK mediation service
  • Final binding arbitration under UK law
  • Legal jurisdiction: Courts of England and Wales

11. Changes to Terms

  • We may update these terms with 30 days notice for material changes
  • Notice will be sent via email and platform notification
  • Continued use after the effective date constitutes acceptance
  • You may terminate your account if you disagree with changes
